The opportunity 

The Administration Officer plays a key role in supporting the administrative requirements of the Property team, ensuring efficient management of property maintenance operations, contractor coordination, compliance tracking, and reporting. The role requires strong organisational skills, attention to detail, and the ability to manage multiple priorities.

This role is a permanent fulltime role based at Hammondville.

Duties include 

Maintenance Administration & Coordination

  • Provide exception reporting to the property team, in the delivery of work orders, service requests, and schedules.
  • Maintain accurate records of maintenance requests, asset servicing schedules, and preventive maintenance programs.
  • Assist in the coordination of urgent repairs and routine maintenance works, ensuring timely resolution.

Contractor & Supplier Administration

  • Coordinate external contractors and suppliers, ensuring service agreements and contracts are maintained and adhered to.
  • Assist in the procurement process for maintenance-related goods and services, ensuring compliance with organisational procurement policies.
  • Monitor contractor performance, tracking completion of scheduled maintenance and repairs.

Compliance & WHS Tracking

  • Ensure maintenance operations comply with relevant safety and regulatory requirements.
  • Maintain records of compliance checks, building certifications, and safety inspections.
  • Support WHS initiatives, ensuring risk assessments and incident reports are logged appropriately

Reporting & Data Management

  • Compile and maintain maintenance reports, including asset performance, budget tracking, and service logs.
  • Assist in preparing reports for senior management on property operations and compliance status.
  • Support the implementation and optimisation of property maintenance software systems.

Stakeholder Communication & Support

  • Act as the key point of contact for internal teams regarding property-related enquiries.
  • Liaise with external stakeholders, including regulatory bodies, service providers, and facility managers.
  • Assist in coordinating meetings, training sessions, and maintenance briefings.

 Who are you?

  • Minimum of three year’s demonstrated experience in a busy admin role
  • Strong organisational and multitasking abilities, with high attention to detail
  • Excellent communication and interpersonal skills, with the ability to engage with a wide range of stakeholders
  • Flexible with a “can do” attitude
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook)

Desirable Experience:

  • Experience working in aged care, healthcare, or a not-for-profit organisation
  • Understanding of asset management principles and preventive maintenance planning
  • Familiarity with procurement processes and contract administration
  • Knowledge of WHS requirements and compliance regulations in property maintenance
  • Experience in facilities management, property administration, or maintenance
  • coordination highly desirable
